Administrative Technician

Professional fluency in French (spoken and written) is required.

Permanent

Enfant Soleil is a non-profit organization that, since 1988, has been rallying people across Quebec so that our children have access to the best healthcare everywhere in the province, by supporting the hospitals and organizations that care for them. We are currently looking for an Administrative Technician who shares our values of mutual support, closeness, recognition, transparency and determination!

Do you love numbers that balance, well-organized files and teams that help each other out? This versatile position will allow you to contribute to the transactional management of our lotteries, the issuing of donation receipts and various administrative activities. In short, a role at the heart of our operations, with a direct impact on the mission.

Working language: French

This position is primarily conducted in French. Professional fluency in French (spoken and written) is required.

You’ll thrive in this role if…

  • You have a keen eye for detail: a discrepancy of a few cents or a missing ticket number catches your attention;
  • You are autonomous, organized and able to juggle several deadlines at once;
  • You enjoy teamwork and helping out your colleagues as well as our donors;
  • You find solutions as easily as you spot problems;
  • You bring positive energy and a great attitude every day.

The Role

Under the supervision of the Director, Operations and Administration, the incumbent handles transaction processing and control of lottery ticket sales, donation processing, the issuing of donation receipts, monthly reconciliations and various administrative follow-ups. The incumbent also acts as the resource person for complex donor service cases.

  • Process payments, including cheques and credit card transactions;

  • Perform monthly reconciliations for selected payment platforms;
  • Manage the monthly issuance of receipts for one-time donations and process partner donation receipts;
  • Provide administrative support for raffles, including invoice tracking and daily sales reporting;
  • Validate and process data from various platforms;
  • Support Telethon activities, including assisting call centres, coordinating follow-ups, and participating in the counting of funds collected during roadblock fundraising activities;
  • Act as a resource person for complex inquiries received by phone or email and document recurring situations;
  • Provide occasional support in responding to calls and emails received through the Enfant Soleil inbox;
  • Provide administrative support for tracking funds distributed to organizations and regional hospitals.

Your Experience

  • DEC (college diploma) in administrative techniques or accounting (or equivalent experience);
  • Minimum of 7 years of experience in a similar role, ideally in an environment with a high volume of transactions and reconciliations;
  • Knowledge of administrative and accounting processes related to payment processing, reconciliations and data control;
  • Experience with a CRM and an integrated accounting system (Dynamics 365 and Business Central, an asset), as well as with online transaction platforms;
  • Advanced Excel skills and general ease with technology and collaborative tools;
  • Experience in a non-profit organization (an asset);
  • Proficiency in spoken and written French.

Your Strengths and Natural Talents

  • Rigour, organizational skills and attention to detail when handling sensitive data and large volumes;
  • Autonomy and ability to manage several recurring, monthly and annual deadlines simultaneously;
  • Analytical and problem-solving skills, with the instinct to understand the root cause of a discrepancy rather than simply correcting it;
  • Strong service mindset, toward colleagues and donors alike;
  • Strong team spirit, a collaborative approach and a willingness to document and share ways of doing things;
  • Curiosity and interest in continuous improvement and process optimization.

Your Future Workplace

  • A team of bright, caring and dedicated people;
  • 35-hour work week;
  • Competitive benefits: group insurance (drugs, short- and long-term disability, life insurance, etc.), an RRSP and an employee assistance program;
  • A warm work environment and a collaborative culture where your ideas are welcome;
  • Work-life balance;
  • Summer hours;
  • Compensation plan designed in accordance with pay equity;
  • Primarily on-site position at our Quebec City office, with occasional remote work depending on operational needs, the time of year and the nature of the tasks;
  • 4 weeks of vacation, floating days off and additional days off over the holidays.

Expected start date: as soon as possible.
