Draws Coordinator

The Mandate

Reporting to the Senior Director, Campaigns and Draws, you will actively contribute to the coordination, optimization, and execution quality of our draw campaigns. Through this role, you will ensure smooth operations, team alignment, and continuous process improvement. More specifically, you will be responsible for:

  • Collaborating on the strategic thinking for each draw edition, proposing solutions to challenges encountered;
  • Proposing, developing, and implementing process improvements, particularly regarding partner communication and internal collaboration;
  • Contributing to the definition of roles and responsibilities of project team members, as well as the implementation of new processes;
  • Optimizing processes related to the creation of visual tools, ticket returns, and campaign follow-ups;
  • Collaborating with internal teams to support partner deliverables, campaign support, and connections with field sales representatives;
  • Actively contributing to continuous improvement initiatives led by the internal committee, as well as initiatives aimed at strengthening partner recognition;
  • Ensuring the alignment and implementation of partner recognition practices within the draws;
  • Tracking task dependencies to meet deliverable deadlines set by the Draws Lead, by clearly communicating priorities to team members, fostering accountability through Monday, anticipating issues, and proposing concrete solutions;
  • Coordinating all deliverables and acting as the main point of contact for project teams;
  • Ensuring planning, follow-up, and adherence to timelines, by managing dependencies and mobilizing stakeholders;
  • Overseeing visual development with external resources and coordinating the production of campaign tools, including briefs, printed materials, and digital tools, for all draws;
  • Ensuring the quality of deliverable execution and adherence to established standards;
  • Coordinating the implementation and follow-up of online sales tools, notably BUMP and Shopify, in collaboration with the relevant teams;
  • Responding to online sales needs, including creating required UTM links and QR codes for campaigns;
  • Tracking sales (online and paper) and producing the necessary reports;
  • Supporting the partnerships team in their interactions with partners and contributing to campaign support;
  • Acting as the main point of contact for the grand prize winners of the Maison Enfant Soleil and Passeport de Rêve draws, ensuring all required follow-up, including coordinating the house construction project when that option is selected;
  • Developing and delivering internal training related to processes and tools;
  • Acting as the main point of contact for deliverables managed by the Development Assistant, notably campaign kits, external printing, and secondary prizes;
  • Annually reviewing the secondary prize process to ensure the responsible Development Assistant has everything needed for the big day;
  • Validating official documents prepared by the Project Lead and updated by the advisors, notably appendices and campaign guides;
  • Participating in long-term strategic discussions, particularly regarding the evolution of the draws;
  • Supporting the Draws Lead in developing special or emerging mandates, such as construction projects, exploring new draws, or any other innovative initiatives.

Your Experience

  • College diploma in administration, event management, or a related field
  • A minimum of 7 years of work experience in a coordination role in sales, marketing, or events
  • Excellent proficiency with computer tools (Excel, Canva, PowerPoint, Teams, Outlook, Word, etc.)
  • Knowledge of CRM tools (Microsoft Dynamics 365 CRM, an asset)
  • Experience using project management tools (Monday, an asset)
  • Excellent interpersonal skills
  • Excellent command of French, spoken and written
  • Functional English, spoken and written
  • Knowledge of the philanthropic sector and best practices in the field (an asset)
